HELP & GUIDES

Install and set up RentalPlugin

Follow the steps to install the plugin, configure your rental business, add products and test a booking from start to finish.

Setup guide

Use these click paths as you work through WordPress. Menu labels can differ slightly by WordPress version. Keep your WordPress and payment-provider accounts secure, and never share secret keys in screenshots or support messages.

1

Upload and activate the plugin

Download the RentalPlugin ZIP from your account and save it to your computer. In your WordPress dashboard, upload that ZIP and activate the plugin.

Click: Dashboard → Plugins → Add New Plugin → Upload Plugin → Choose File → Install Now → Activate Plugin

Open RentalPlugin from the dashboard menu. If a setup wizard appears, follow its prompts; otherwise open Settings.

2

Set up your business

Enter the business details customers should see, select your currency and time zone, and set your opening hours. Choose when customers can book and how much notice you need.

Click: RentalPlugin → Settings

Review each settings section and save it before moving on. Add clear rental terms and customer-facing messages that fit your business.

3

Activate your licence

Your licence key is emailed to the address used at checkout in an email titled Your RentalPlugin license key. It starts with RPL-. Keep this key private.

  1. Sign in to the WordPress dashboard on your own website.
  2. Open RentalPlugin → Licence & billing.
  3. Paste your key into Licence key and click Activate licence.
  4. Check that the status reads Active — email connected. Your website can now accept new rental bookings, and RentalPlugin booking email delivery is connected automatically.
Click: RentalPlugin → Licence & billing → enter key → Activate licence

You can also enter the key during the setup wizard. If you already activated it there, you do not need to enter it again.

Monthly or yearly renewal: enter the key once. You keep the same key, and successful subscription renewals keep it active automatically. You do not need to re-enter it each month or year.

The licence is linked to one website. Contact info@rentalplugin.com if you cannot find your key, activation fails, or you need to move it to another domain. Reception staff do not need their own licence key.

4

Add rental products

Create each item with a clear name, description, category, available quantity, photos and rental rates. Set daily or weekly prices and any deposit or optional charges you use.

Click: RentalPlugin → Products → Add New

Check that the item is published and available for the dates you want customers to book. Preview the product page before adding the booking form to your website.

5

Place the booking form on a page

Create or edit the page where customers should book. Add the RentalPlugin Booking block, or insert the shortcode below into a Shortcode block or your page builder’s shortcode element.

Click: Pages → Add New → add a Booking block → Publish

[rentalplugin] displays the booking form.

For the staff reception page, use [rentalplugin_reception]. RentalPlugin creates a Reception page during setup; staff must sign in with a RentalPlugin Reception account to use it.

6

Connect payments safely

Open payment settings and choose Stripe or SumUp. Start with the provider’s test mode and test credentials. Configure the webhook using the endpoint shown in RentalPlugin settings, then verify successful, canceled and delayed payment returns.

Click: RentalPlugin → Settings → Payments

When tests pass, enter live credentials in the secured settings screen and run a small live test if your payment provider supports it. Do not put secret keys in page content or screenshots.

7

Test the complete customer journey

Place a test booking on a staging site. Check date availability, price totals, taxes, confirmation emails, staff notifications, calendar entries and the customer’s return page. Repeat on a phone and desktop.

Before launch: test booking → payment result → confirmation → staff workflow

Keep a backup and repeat these checks after major plugin, WordPress or payment-provider changes.

Reception staff and desktop access

Create staff logins in WordPress on your own rental website. These are separate from your RentalPlugin.com subscription account. Receptionists use the reception page on your website for walk-in bookings, the schedule, contracts and receipts.

1

Create a receptionist login

  1. Sign in to your own website’s WordPress dashboard as an administrator.
  2. Open Users → Add New User (sometimes labelled Add User).
  3. Enter a unique username, the receptionist’s email address and their name.
  4. Set Role to RentalPlugin Reception.
  5. Leave Send User Notification selected, then click Add New User. The receptionist can use the WordPress email to set their own password.

For an existing user: Users → All Users → Edit → Role → RentalPlugin Reception → Update User.

Give each receptionist their own login. This role provides reception access without access to the business settings or the WordPress dashboard. You do not need to make receptionists administrators.

2

Open the reception page

  1. Open Pages → All Pages → Reception → View, then copy the page address.
  2. The default address is https://yourwebsite.com/reception/. Replace the example domain with your own. If you renamed the page, use its actual address.
  3. Send that address to the receptionist. They open it and sign in with the WordPress username and password created in step 1.

The reception page includes New walk-in and Weekly schedule. Staff do not need to work in the WordPress dashboard.

If the Reception page is missing, create a page and add [rentalplugin_reception] in a Shortcode block, then publish it. If the role is missing, check that RentalPlugin is active.

3

Create a Windows desktop shortcut

  1. Open your website’s Reception page and copy its full address from the browser address bar.
  2. On the Windows desktop, right-click an empty area and select New → Shortcut.
  3. Paste the reception page address into Type the location of the item, then click Next.
  4. Name it RentalPlugin Reception and click Finish.
  5. Double-click the shortcut to open reception in your default browser. Sign in if asked.

The shortcut opens the page; it does not bypass the login. Keep only the page address in the shortcut—never a password.

4

Keep reception easy to find

You can also bookmark the reception page in your browser: press Ctrl + D on Windows or Command + D on a Mac, name the bookmark RentalPlugin Reception and save it to the bookmarks bar.

On a shared reception computer, use Log out when handing over to someone who should not have access. If a staff member leaves, the owner can remove their reception access under Users → All Users.
